In the admin console, you can publish printable daily, weekly, and monthly activity calendars. First, click on the community where you want to publish the calendar, then click Activities. On the Activities screen, choose Print Calendar, and choose which type you want.
Daily Calendar
Daily calendars are a great tool to post in strategic locations in your community, such as by elevators or at the front lobby, to help keep everyone updated on the day's activities and meals.
For a daily calendar, use the date selector to select the appropriate day, and then adjust the title or notes as needed before choosing Publish.
A download window will appear when the calendar is ready. Click the link to open the PDF file.
Any changes you have made to the title will appear in the Title area at the top of the calendar. Any notes will appear in the Notes area at the bottom of the calendar.
Weekly Calendar
Weekly calendars run Sunday - Saturday. They include each day's activities and a section for notes.
Similar to a daily calendar, you can adjust the week using the arrows in the date selector, adjust the title, and add notes before you click Publish.
The weekly calendar is set in a landscape orientation to better fit the data.
Monthly Calendar
Monthly calendars include activities, the ability to show activity types with a legend, and the option to enter text for any empty squares on the calendar.
In the upper section of the screen, you can use the calendar icon to adjust the month you'd like to print, and set a title and subtitle. You can also choose whether activity types should display and if activity start times should be hidden. Including types and start times can provide helpful information, but some communities prefer to leave those items out of the calendar in some care units, such as Memory Care.
The Empty Squares section shows which squares will not contain any dates in the selected month. You can click on any of the numbered empty squares to add notes in that square, or use the toggle to select that the activity legend should appear in that square. The activity legend shows the activity type abbreviations and what they mean, so it is a good idea to include it in one of the empty squares if you are choosing to show activity types.
When publishing a monthly calendar, we create both a one-sided and a two-sided version. The download window provides links to both options.
Monthly One-Sided
The one-sided version has room for up to nine rows per calendar square.
Monthly Two-Sided
The two-sided version has room for up to fourteen rows per calendar square.
After a monthly calendar is published, the admin console displays links to the most recently-published version of that calendar on the Activities screen so that you can come back and access those at any time.
Note: If updates are made to activities in the admin console, the calendar must be published again to bring those changes into the published version.
